To provide an efficient and effective administrative service to the Fleet Cell team members.
To ensure that enquiries concerning the fleet are directed and dealt with promptly in the absence of the Fleet Superintendent.
1. To receive all the reports from the ship and distribute to relevant persons in a timely manner.
2. To arrange for the procurement function to prepare and distribute purchase orders for services and surveys, where appropriate.
3. To liaise and arrange travel, visas etc. for identified suppliers/service providers, Class and agents for their attendance at the appropriate ports.
4. To distribute files, invoices etc to respective Offices as per Fleet Cell needs.
5. Under instructions and guidance from the Fleet Manager and/or Fleet Superintendent prepare reports, letters and other documents.
6. To maintain accurate and up-to-date records of Fleet Managers/Superintendents’ vessel visits.
7. To dispatch Fleet Managers’ Reports
8. Processing disbursement accounts, and and when required by business
9. Entering of commitments for Port Disbursements, travel and other incidentals
10. General filing and administrative tasks. To maintain the Owners contract files and insurance status of the vessels.
11. To ensure vessel details are filled into Shipsure as required and instructed by Fleet Manager.
12. To download and distribute the Class status reports to the vessels and Superintendents.
13. Any other jobs as required by the Fleet Managers.
 Excellent English – both written and spoken
 shipping industry knowledge required
 Good team working and communication skills
 An interest in financial and budgetary matters
 PC skills, including advanced level knowledge of MS Word & Excel is desirable, but training will be provided
 Ability to work in a methodical and organised manner
 Flexible and adaptable
 Ability to work with minimum supervision
